The softgarden Applicant Matching Solution is an AI-based feature designed to assist recruiters by highlighting applications that align with the requirements of posted jobs. This feature provides visual indicators for potential matches; it does not make automated hiring decisions.

Activating AI Matching

The softgarden AI Matching Solution is an opt-in feature and disabled by default. Customers can enable it directly within the settings of their softgarden account.

How to Activate

To enable AI matching:

  1. Navigate to Settings > Additional Features > Custom Settings > Additional softgarden Features > AI-enhanced features
  2. Find the AI Assisted Applicant Matching feature and enable it via the toggle.

Note: After activating AI Matching, only new applications received after activation will be part of the prediction. This is because privacy policy will be updated and the applicants will be informed.

Privacy & Data Protection

  • Anonymized data is used for AI model improvements.
  • No personal data is shared with external parties.
  • Applicants who have not agreed to the updated privacy policy will not be processed by AI matching.

How It Works

Applicant Highlighting

  • Applicants identified as potential matches are visually highlighted with a border and icon.
  • The highlighting appears in:
    • Global applicant list
    • Job-specific lists
    • Application details
  • Hovering over the icon provides additional explanations.

 

Customizable Filters

  • Recruiters can filter applicants to show only matched candidates.
  • This filter is disabled by default and can be customized per recruiter.
  • Filter settings are not shared across recruiters; each user can adjust their view independently.

What is AI Matching?

AI Matching is an AI-driven solution that analyzes resumes and job descriptions to highlight the most relevant candidates for a job posting.

How does AI Matching work?

The AI model, trained on anonymized datasets, scans applications and identifies potential matches. These matches are visually marked in the recruiter’s dashboard.

Does AI Matching make automated decisions?

No, AI Matching does not make hiring decisions. Recruiters retain full control over candidate evaluation.

Who operates the AI system?

The AI system is independently developed and managed by softgarden e-recruiting GmbH.

Privacy & Data Security

Is my personal data shared externally?

No, no personal data is shared with third parties.

What happens to privacy notices when activating AI Matching?

Once activated, updated privacy notices will be provided to applicants, ensuring transparency about AI matching.

What if applicants do not acknowledge the updated privacy notice?

Only applicants who agree to the updated policy will be processed through AI matching. Others will be processed according to standard evaluation procedures.

How are matches displayed to recruiters?

Matched candidates are highlighted with a frame and icon. Hovering over the icon provides more details.

Can recruiters filter matched applicants?

Yes, recruiters can filter the applicant list to show only matched candidates. This setting is disabled by default but can be customized.

Data Usage & Security

How is applicant data used?

Only anonymized applicant data is used to improve the AI model.

How is data deleted?

Data follows customer-defined deletion policies and is fully anonymized after the retention period.

Will using AI Matching affect standard data deletion timelines?

No, standard deletion policies remain in effect.

Compliance & AI Regulations

Is AI Matching classified as a high-risk AI system under the EU AI Act?

While initially categorized as high-risk under Annex III, No. 4 of the AI Regulation, it benefits from exemptions that make it not high-risk.

What exemptions apply under the EU AI Act?

The system meets exemption criteria in Article 6(3), points (a) and (d), as it supports decision-making rather than replacing human evaluation.

Does AI Matching pose legal risks to individuals?

No, AI Matching does not negatively impact the legal rights or interests of applicants.
